You can create an account and upload your spreadsheet in about five minutes. If your first line in the spreadsheet contains your field names, you are just about done. You can easily sort any column quickly by clicking on the arrow icons. You can quickly locate duplicate records, create a mail merge template and forms for your Web site, all with just a couple of clicks of the mouse. Custom reports are simple, and what‘s more, they can be distributed via email to your collaborators on a set schedule. Adding different collaborators with various discrete permissions is very straightforward, and in about 30 minutes you can have a project setup and working with your team.
First, databases are still tricky for some people to understand. While relational databases can be thought of as tables that have several indexes, this is more than many people want to deal with. Second, the collaboration tools are tough to learn and use. Look at how many people still use Lotus Notes for email and not much else. And since most of us are comfortable with email, using it as the transportation system isn‘t all that taxing. Until the day comes when three people are working on the same spreadsheet and make conflicting changes.
The second wall that hinders a small company‘s growth is similar but another rung up the ladder. The system that supported five people is starting to break down under the strain of 30 people. A new type of thinking must be applied to streamline the company‘s operations and automate them ‐ again. This time, the system will be larger, will take longer to design (or purchase), and cause more of a disruption in company operations when it is implemented. What happens internally when a system no longer meets the needs of the busy employees? They start creating workarounds to get their job done... and often their solutions involve spreadsheets. And so, the spreadsheet culture is reborn and the cycle begins again.
I love spreadsheets. I use them for everything I can and every kind of organization. I, honestly, don‘t know what I would do without them or what how I used to cope before I first discovered them. I use a spreadsheet to balance my checkbook, to manage my business expenses, and to make ‘To Do‘ lists to plan out my days. I also use spreadsheets to manage my money and set my financial goals.
The second component of a good real estate investment spreadsheet is a long cash flow projection period. Property investments are typically very long term ‐‐ from 10 to 20 years on average. In particular, if you are buying real property for long term portfolio holdings, it makes sense to have at least 10 years of monthly or quarterly data, and even up to 30 years. This ensures you capture the entire future cash flows, and enables a much more accurate determination of net present value, internal rate of return, and capitalization factors.
Accounting software is used by accountants to enter many complex financial transactions into the financial books of account and is almost invariably based upon double entry bookkeeping principles. A major advantage to those companies and the finance staff is the extent to which financial information contained in the database can be queried for financial control purposes. An accountant needs to not only ensure the financial records are accurate but also retrieve any part of the accounting records to answer accounting questions on the accounts, provide a legal basis for the transactions and report the financial statements at regular periodic intervals.
