The need for new and/or different systems to support a company‘s growth is not avoidable. Just plan to address them before the pain at each juncture is so great that your people start leaving for a company that has better, more efficient systems in place. When you do start this planning phase, be sure to use experts that are not tied to a particular solution. You know the old saying... When all you have is a hammer, everything looks like a nail. In the past, the easiest way to share a small database was to create a spreadsheet and email it to your collaborators. This time‐tested method has withstood more sophisticated competition for several reasons.
The second wall that hinders a small company‘s growth is similar but another rung up the ladder. The system that supported five people is starting to break down under the strain of 30 people. A new type of thinking must be applied to streamline the company‘s operations and automate them ‐ again. This time, the system will be larger, will take longer to design (or purchase), and cause more of a disruption in company operations when it is implemented. What happens internally when a system no longer meets the needs of the busy employees? They start creating workarounds to get their job done... and often their solutions involve spreadsheets. And so, the spreadsheet culture is reborn and the cycle begins again.
Sales accounting for a small business accounting purposes can be either a manual list of the sales invoices or by using a spreadsheet package a list can be made on a bookkeeping spreadsheet. Using a spreadsheet for the bookkeeping has advantages as simple formula can be used to add up the column totals. The essential information to enter for a sales invoice would be the date of the sale, name of the customer, sales invoice number if applicable and optional a brief description of the item sold. In the next column would be the total sales invoice amount. If items like value added tax are required to be accounted for then an additional column would be required to accommodate the vat or sales tax accounting.
Fixed expenses. The expenses that do not vary every month are called fixed expenses, which include your loan payments, rental fees, and insurance premiums. Total income and expenses. When using a monthly budget spreadsheet, you will need to get your total income, total variable expenses, and total fixed expenses. Get the sum of the fixed and variable expenses and then deduct it from your total income. The resulting amount is called the disposable income, which can be used for savings or as an emergency fund. In case your expenses are higher than your income, you will have to make some adjustments in the amounts you allotted in your variable expenses.
Working in a financial firm would entail a lot of reports to be submitted on a weekly, monthly, semi‐ monthly, quarterly and a yearly basis. All of these reports should be monitored, and most of the data where these reports come from are based from several spreadsheets that you will have to consolidate in a timely manner. To effectively have these reports updated, you can make use of a file comparison tool that can compare spreadsheet files and allow the user to make changes to it from one file to another.
First, databases are still tricky for some people to understand. While relational databases can be thought of as tables that have several indexes, this is more than many people want to deal with. Second, the collaboration tools are tough to learn and use. Look at how many people still use Lotus Notes for email and not much else. And since most of us are comfortable with email, using it as the transportation system isn‘t all that taxing. Until the day comes when three people are working on the same spreadsheet and make conflicting changes.
