Managing the household finances is made a lot easier when you use a spreadsheet. When using a spreadsheet program for budgeting, you need to use formulas in calculating all the totals. That way, you make the process much faster because you will not have to get the totals manually using a calculator. This also prevents inaccurate computations on your budget.
The expenditure analysis columns do not need to be a different column for each type of expenditure. It is better to set up and group the analysis columns in general headings which can accommodate all the expenses. Such columns may include stock, other direct costs, premises costs, general administrative costs, transport and delivery costs, repairs and maintenance, travelling and hotel costs, motor costs, bank and legal costs and other expenses. It is better not to enter too many items under a general heading of other expenses as this is more likely to be investigated as the type of expense has not been precisely identified.

Ideally, you‘re looking for accurate monthly data including income statement items like revenue and operating expenses and balance sheet items like equipment purchases and cash from financing activities. If you have a longer time frame you can go with quarterly periods, but annual tends to be too long. After all, how can you predict what is going to happen beyond 5 years with any accuracy unless you‘re valuing an annuity?
Second, remember that whatever can be measured can be managed. Develop a system wherein just a few look at some numbers can tell you the health of your operations. But this also depends on the soundness of the system. If someone can just fill in numbers they can induce you to think in ways that may not be desirable given the fact that you have to manage the operations.

It is that stage of information sharing pain that causes people to start cussing. Where did you save the Johnson calculations? Who has the orders spreadsheet locked? Where did my new inventory list go? Did someone write over it? There was 2 days work in that spreadsheet!
