I love spreadsheets. I use them for everything I can and every kind of organization. I, honestly, don‘t know what I would do without them or what how I used to cope before I first discovered them. I use a spreadsheet to balance my checkbook, to manage my business expenses, and to make ‘To Do‘ lists to plan out my days. I also use spreadsheets to manage my money and set my financial goals.
The need for new and/or different systems to support a company‘s growth is not avoidable. Just plan to address them before the pain at each juncture is so great that your people start leaving for a company that has better, more efficient systems in place. When you do start this planning phase, be sure to use experts that are not tied to a particular solution. You know the old saying... When all you have is a hammer, everything looks like a nail. In the past, the easiest way to share a small database was to create a spreadsheet and email it to your collaborators. This time‐tested method has withstood more sophisticated competition for several reasons.
Is your job dealing with more and more paper work all the time? If you are an office clerk or reports assistant or even if you are a manager you will have to send reports on a monthly basis and more often they will have to do with comparing old and new files as well as updating them. To compare spreadsheet reports, you will have to understand the values being given and consolidate it with any changes made for a certain period of time. If you will be dealing with several files here to compare, you may find this a very daunting task. However, knowing that there is a tool you can use to make this task easier for you is a great relief.
One of the first things to consider is what kind of data you have to work with in your cash flow template Excel spreadsheet. Ideally, you‘re looking for accurate monthly data including income statement items like revenue and operating expenses and balance sheet items like equipment purchases and cash from financing activities. If you have a longer time frame you can go with quarterly periods, but annual tends to be too long. After all, how can you predict what is going to happen beyond 5 years with any accuracy unless you‘re valuing an annuity?
To know if a household budget spreadsheet software is user‐friendly, try several programs online and see which ones are easy enough to use by people with basic budgeting and computer skills. The layout of the spreadsheet should not only be easy to understand, but also be able to present all the necessary information in a glance. It should contain just the right number of graphics and details to avoid confusion for its user.
Since this is a residential rental apartment building it makes sense to include rental income in your real estate spreadsheet. That‘s obvious. What isn‘t so obvious are things like interest on tenant deposits, subsidies, tax refunds, etc. When you‘re building the spreadsheet you need to estimate when those revenues will arrive, and that relates to the number of tenants, the rental rates you charge, how long the lease term is for each tenant, etc. You also need to assume some late payments, evictions, and vacant units. If you haven‘t invested in the area before this can be a challenge. You can gather data on that by speaking with local real estate agents, lenders, and tax agencies, or subscribe to an industry database that covers the local area.
