These common complaints with Microsoft Excel filtering are heard time and time again by engineers, accountants, management consultants, bankers and finance professionals who work with data in Excel spreadsheets on a daily basis. Many spreadsheet users including financial modellers (who seem to be leading the charge) are turning towards Excel Add-ins and software tools that plug into Microsoft Excel to help them improve the in-built filtering logic of Microsoft Excel and thus analyse certain data sets quickly and easily.
Here‘s where the expense sheet gets complex. All of your categories of spending go in column A. Get as detailed as you like, or keep it really simple and just put the basic categories. Generally, the more detail the better. it‘s also helpful to have categories for your categories. A Utilities category for your power, gas, water, etc, categories. Again, detail is good, but be wary of going into too much detail. Column B is where you‘ll put the amount that you‘re budgeting for that category. Column C, how much you‘ve spent on that category to date. If you like (or are a statistics junkie) you can add columns for % of budgeted amount, and % of total budget as well. For our simple budget, we‘ll just leave that out for now.
Now switch to your Excel spreadsheet and select the entire data table which you have created as the basis of your invoice. Either click the ‘copy‘ button or simply right click and select ‘copy‘, then transfer to your Word document and place the cursor where you wish to paste the spreadsheet. What you do next really depends upon which version of Microsoft Word you are using. In Word 2007 you need to click the drop down arrow on the ‘paste‘ button, which is the first icon on the ‘home ‘ribbon. Now you need to select ‘paste special‘ and in the dialogue box choose ‘paste link‘ and select Microsoft Excel Worksheet Object. If you are using Microsoft Word 2003, click ‘edit‘ on the menu bar and select ‘paste special‘. The resulting dialogue box is the same as for Word 2007.
Given this data set imagine trying to find out which Fridays you were busy at an appointment at noon while your partner was also busy at an appointment at noon and the descriptions of both of your appointments contained the phrase down town. If you are not familiar with relational databases and SQL it might surprise you to know that the question can be answered by a single simple SQL query. The database and SQL don‘t have it all their own way however. Spreadsheets come in to their own for tasks that benefit from a visual representation. Traditionally databases do not provide a visual way to browse the data in tables without explicitly requesting data.
One of the topics I cover on my Advanced Excel courses is hardly ‘advanced‘ at all, but it is a very useful and popular technique with my students. It makes use of the OLE capability to create invoices by embedding Excel data. First you need to create an Excel spreadsheet and format it in an appropriate manner, keeping in mind that this will form the basic structure of your invoice and will eventually be seen by your clients. You don‘t include any Company contact details or logos in the spreadsheet though as these will be incorporated into the Word document. The next step is to lay out the invoice itself in a Word document, based upon your normal Company letterhead. Leave the main body of the document empty as this is where the Excel spreadsheet will be embedded. All you need in this master Word document is your usual Company branding and contact information.
It does have one severe limitation. Goal seek is not a formula. It does not permanently reside in the spreadsheet or the selected cells. Therefore you have to re-run Goal Seek each and every time you change the spreadsheet. Often this is acceptable because you have created a model specifically to calculate that one parameter. Having said that, there will be occasions where this is inadequate. What are the plans for your meeting or convention this year? Does it start with a budget or did you even do one last year?
