The need for new and/or different systems to support a company‘s growth is not avoidable. Just plan to address them before the pain at each juncture is so great that your people start leaving for a company that has better, more efficient systems in place. When you do start this planning phase, be sure to use experts that are not tied to a particular solution. You know the old saying... When all you have is a hammer, everything looks like a nail. In the past, the easiest way to share a small database was to create a spreadsheet and email it to your collaborators. This time‐tested method has withstood more sophisticated competition for several reasons.
I like using spreadsheets for monetary goals because of the functions I can use. If you are working towards a savings goal, using a word processor or writing them out will require constant updating. With a spreadsheet, you can simple add in how much more you‘ve saved, and if you had the right formulas set up, it will do it all for you. First, set up a different sheet for your long term goals and your short term goals. You can have long term goals and then break them up into short term goals as well as have separate goals. Make the sheet look appealing with bold headers and colors. If you don‘t know how to use excel or other spreadsheet programs, you really only need the basics. Doing spreadsheets on a computer may seem a little complicated at first. But a small investment of time and effort will soon pay dividend, because once you have the hang of them, spreadsheets can perform complex financial calculations. For example you can set up a spreadsheet to work out the true cost of running your car, including such invisible outlay as depreciation and wear and tear. All you have to do is explain the task to the program once and it will do all the hard arithmetic for you, month after month, year after year.
Accounting software is used by accountants to enter many complex financial transactions into the financial books of account and is almost invariably based upon double entry bookkeeping principles. A major advantage to those companies and the finance staff is the extent to which financial information contained in the database can be queried for financial control purposes. An accountant needs to not only ensure the financial records are accurate but also retrieve any part of the accounting records to answer accounting questions on the accounts, provide a legal basis for the transactions and report the financial statements at regular periodic intervals.
Also, how long is your investment horizon? Is it really that important to you to project out to 30 years or is 3‐5 years sufficient along with a terminal value that represents the expected NPV beyond 5 years? Usually this latter approach works best and looks the most credible to potential investors. There are numerous ways to calculate terminal value including multiples, current market values projected forward, and round guesstimates. Obviously these decisions are affected by your personal preference and the type of investment for which you‘re calculating present value.
The second component of a good real estate investment spreadsheet is a long cash flow projection period. Property investments are typically very long term ‐‐ from 10 to 20 years on average. In particular, if you are buying real property for long term portfolio holdings, it makes sense to have at least 10 years of monthly or quarterly data, and even up to 30 years. This ensures you capture the entire future cash flows, and enables a much more accurate determination of net present value, internal rate of return, and capitalization factors.
