Paying off your debt and becoming financially independent has many important parts. The most important of those is creating a budget. A budget gives you an outline of where your money is going and where it should go. In some instances, it can be used to create strict limits for your spending. How well you stick to the budget is up to you. When you reach the end of your budget month, the balance for the month should be 0. Funds in – Funds out = 0. If you end up with a negative number, you‘ve overspent and will need to adjust by reducing budgeted funds in another category or by reducing the total amount of money available for the next month. If you end up with a positive number, you‘ve spent less than you made. Good for you! Now, put that money to good use. Pay down some debt, or put it into savings.
You can go over your budget as often as you like. Some find it easier to enter amounts every day after they‘ve settled in for the day. Others will choose to go over it monthly. Going over it weekly is likely where most will settle though. Occasionally, we‘ll have a surplus or deficit at the end of the month. Perhaps you‘ve spent too much, or not spent all that you thought you would. Spending too much can be troublesome, but not spending as much as you thought can be a lot of fun. You may want to consider adding a budget field carryover in the income sheet and one called shortfall in the expenses sheet. If you spent too much, the amount that you overspent by becomes your budgeted amount for shortfall in your expenses sheet the next month. Didn‘t spend enough, and you put that amount in the carryover field in the income sheet. This will help you keep track of all your money as well as account for any shortfalls.
Structured Query Language, often referred to as SQL, is a grammar of instructions that allows us to tell a relational database to add, modify or delete data. The key benefit, pardon the pun, of SQL is that it allows us to craft instructions relating large sets of data together. In this way SQL is the natural complement to the single cell and formula based interface of spreadsheets like Microsoft Excel. Imagine you had five hundred appointments from your business calendar laid out in a table. Each appointment might have a day, time, location and description. Now imagine you also had five hundred appointments from your partners business calendar, also each having a day, time, location and description.
If you wanted to make this spreadsheet into template, you would need to take two more steps. The first step would involve modifying the spreadsheet to display only the data that remains the same. If you are constantly changing certain cells, you would leave these cells formatted but blank. The last step involves saving this spreadsheet as a template. Once this is done, you would always have access to a clean spreadsheet that is formatted the way you want and ready for your modifications. Microsoft has hundreds of free templates available. You can also download templates that are already loaded in your version of Excel. They are typically located under the File/New or Office Button/New option. When downloading these business and personal templates, be sure to monitor the version of Office that the template applies to. They have templates available for all of the versions of the Office Suites.
Given this data set imagine trying to find out which Fridays you were busy at an appointment at noon while your partner was also busy at an appointment at noon and the descriptions of both of your appointments contained the phrase down town. If you are not familiar with relational databases and SQL it might surprise you to know that the question can be answered by a single simple SQL query. The database and SQL don‘t have it all their own way however. Spreadsheets come in to their own for tasks that benefit from a visual representation. Traditionally databases do not provide a visual way to browse the data in tables without explicitly requesting data.
One of the topics I cover on my Advanced Excel courses is hardly ‘advanced‘ at all, but it is a very useful and popular technique with my students. It makes use of the OLE capability to create invoices by embedding Excel data. First you need to create an Excel spreadsheet and format it in an appropriate manner, keeping in mind that this will form the basic structure of your invoice and will eventually be seen by your clients. You don‘t include any Company contact details or logos in the spreadsheet though as these will be incorporated into the Word document. The next step is to lay out the invoice itself in a Word document, based upon your normal Company letterhead. Leave the main body of the document empty as this is where the Excel spreadsheet will be embedded. All you need in this master Word document is your usual Company branding and contact information.
