Employee spreadsheets are a very important resource tool in the hand of a manager, but the skill and dexterity with which he/she uses it is up to them. These spreadsheets are like the blood system in our body. They carry information in and out of the organization. So consciously designing them is the best alternative for operations and for business in general.
I like using spreadsheets for monetary goals because of the functions I can use. If you are working towards a savings goal, using a word processor or writing them out will require constant updating. With a spreadsheet, you can simple add in how much more you‘ve saved, and if you had the right formulas set up, it will do it all for you. First, set up a different sheet for your long term goals and your short term goals. You can have long term goals and then break them up into short term goals as well as have separate goals. Make the sheet look appealing with bold headers and colors. If you don‘t know how to use excel or other spreadsheet programs, you really only need the basics. Producing an income and expenditure statement using single entry bookkeeping is little more than making two lists of financial transactions. Those lists being one of sales income received from sales invoices or receipts issued to customers and the other of purchase expenditure being from purchase invoices received from suppliers. To record sales income it would not normally be sufficient to simply add up the total of the invoices as such a summation does not leave an audit trail of the items which have been included. A written list of sales invoices does provide an audit trail.
Also, how long is your investment horizon? Is it really that important to you to project out to 30 years or is 3‐5 years sufficient along with a terminal value that represents the expected NPV beyond 5 years? Usually this latter approach works best and looks the most credible to potential investors. There are numerous ways to calculate terminal value including multiples, current market values projected forward, and round guesstimates. Obviously these decisions are affected by your personal preference and the type of investment for which you‘re calculating present value.
Managing the household finances is made a lot easier when you use a spreadsheet. When using a spreadsheet program for budgeting, you need to use formulas in calculating all the totals. That way, you make the process much faster because you will not have to get the totals manually using a calculator. This also prevents inaccurate computations on your budget.
Since this is a residential rental apartment building it makes sense to include rental income in your real estate spreadsheet. That‘s obvious. What isn‘t so obvious are things like interest on tenant deposits, subsidies, tax refunds, etc. When you‘re building the spreadsheet you need to estimate when those revenues will arrive, and that relates to the number of tenants, the rental rates you charge, how long the lease term is for each tenant, etc. You also need to assume some late payments, evictions, and vacant units. If you haven‘t invested in the area before this can be a challenge. You can gather data on that by speaking with local real estate agents, lenders, and tax agencies, or subscribe to an industry database that covers the local area.
