Employee spreadsheets are a very important resource tool in the hand of a manager, but the skill and dexterity with which he/she uses it is up to them. These spreadsheets are like the blood system in our body. They carry information in and out of the organization. So consciously designing them is the best alternative for operations and for business in general.
Third, building the right kinds of collaborative applications requires some skill and understanding how and what kinds of data are shared. How many people are going to be adding/changing records to your database? How many just want to do queries and reports? And how do you prevent conflicting updates? Finally, when you add the Web and Internet‐based access to the data, you have greatly increased the skill level required to create and manage your database. While there are some really good Internet‐facing database programs (Alpha Software, Filemaker, Quickbase from Intuit, and DabbleDb ‐ just to name a few that I know of), none of these are as easy to setup and manipulate as Trackvia.com, a service that has been out for the past year but recently gotten some much‐needed improvements.
Employee spreadsheet offers a great way to manage your staff scheduling without much effort. Any business enterprise is composed of processes that need work to be performed by humans. But the problem is control. A lot of time management has no resort but to try and cure the incurable. The best way is to control the processes and the quality of output is therefore "employee spreadsheet" becomes of paramount importance in managing your daily operations.
Since this is a residential rental apartment building it makes sense to include rental income in your real estate spreadsheet. That‘s obvious. What isn‘t so obvious are things like interest on tenant deposits, subsidies, tax refunds, etc. When you‘re building the spreadsheet you need to estimate when those revenues will arrive, and that relates to the number of tenants, the rental rates you charge, how long the lease term is for each tenant, etc. You also need to assume some late payments, evictions, and vacant units. If you haven‘t invested in the area before this can be a challenge. You can gather data on that by speaking with local real estate agents, lenders, and tax agencies, or subscribe to an industry database that covers the local area.
The expenditure analysis columns do not need to be a different column for each type of expenditure. It is better to set up and group the analysis columns in general headings which can accommodate all the expenses. Such columns may include stock, other direct costs, premises costs, general administrative costs, transport and delivery costs, repairs and maintenance, travelling and hotel costs, motor costs, bank and legal costs and other expenses. It is better not to enter too many items under a general heading of other expenses as this is more likely to be investigated as the type of expense has not been precisely identified.
One of the first things to consider is what kind of data you have to work with in your cash flow template Excel spreadsheet. Ideally, you‘re looking for accurate monthly data including income statement items like revenue and operating expenses and balance sheet items like equipment purchases and cash from financing activities. If you have a longer time frame you can go with quarterly periods, but annual tends to be too long. After all, how can you predict what is going to happen beyond 5 years with any accuracy unless you‘re valuing an annuity?
