Finding your way around and identifying the various elements of your spreadsheet document will help you navigate around it more easily and use it more effectively. Most elements are the same for all spreadsheet programs but they look quite complicated. But once you understand how they work and how to find your way around them, they are easy to use. To understand from the start you have to know it is a grid of cells. The columns are like the columns in a ledger. You can use them to make lists of figures and perform calculations. Each column is identified by a letter of the alphabet and each row by a number.
A further small complication might be if at the discretion of the small business owner additional information was required from the bookkeeping records to indicate the totals of the different types of products and services then additional columns could be incorporated to enter the net sales figures in these columns. There it is then, a simple list of sales invoices to satisfy the sales accounting requirements for a small business where a balance sheet is not required.
Monthly budget spreadsheets vary in layout, features, and information. However, there are several elements that are commonly used in these spreadsheets. Another important feature of a household budget spreadsheet program is the flexibility to allow the user to enter all elements of the family budget. It must allow some space for the income sources, expenses, and utilities. That way, you can plan your family‘s finances more efficiently. You can find several home budget spreadsheets with standard add‐ons such as calendar, calculator, savings planner, and credit card manager. The spreadsheet software you will use depends on the add‐ons that you think are suitable to your budgeting needs.
We want to look at costs, so we reserve a tab in the real estate spreadsheet for that. Here, you have a decision. You can either make a large list of standard rehabilitation and operating costs or a smaller list of costs specific to this property. The first option allows you to use the Excel spreadsheet for other properties which are probably not the same. The second option keeps things small and tidy and might work if this is a once‐off investment. Either way, you will want to include all of the costs in a timeline schedule by week or month. This would include the re‐roofing, paint, plumbing, electrics, landscaping, electricity if you are responsible for it, insurance, etc. The financing costs are likely to be the most complex because you need to estimate not only the interest rates of the loan or loans you get, but the principle amortization, mortgage insurance, etc. This can be complex from a calculations standpoint. How granular you get with costs is up to you.
Our first step is to capture non‐quantitative data in the spreadsheet, so we reserve a worksheet for that. This is used for location and condition information such as address, zoning category, residential vs. commercial, neighborhood, occupancy in the building and surrounding area, school district, etc. This will all be useful for financing and insurance purposes, as well as keeping track of a number of properties if you have a large real estate portfolio or a property management company. You might want to put it into a standard database format in case you want to save and analyze the information later.
